How Sector3 collects, uses and protects your information.
Who we are
Sector3 is an ecosystem of three interconnected platforms — AKAARA, VAKA and ĀTINGA — sharing a single Sector3 Passport. For this policy, “Sector3”, “we” and “us” refers to the Sector3 Foundation Trust, the entity that operates the Sector3 ecosystem and its platforms.
What information we hold
When you create a Sector3 Passport we hold the details you provide — your name, email, location, and any further profile details you choose to add. When you apply for support, we hold the goal, barrier, support requested, value, timing, intended outcome and any documents you upload. When an organisation submits a partnership enquiry, we hold the organisation and contact details provided.
How we use your information
We use your information to consider and respond to support applications, to manage partner relationships, to maintain your Passport journey and milestones, and to understand the impact of support provided. We do not use your personal information for commercial advertising or sell it to third parties.
Who can see your information
Your application information is visible to you within your Passport and to authorised Sector3 stewards and approvers involved in considering your request. Internal assessment notes, conflict-of-interest declarations and governance audit records are visible to authorised staff only and are never shown to applicants. Partner enquiry information is visible to authorised Sector3 staff managing partner relationships.
How we keep it safe
Your information is held securely within the Sector3 platform. Access is controlled by role-based permissions and staff access is restricted to authorised, active staff records. We limit access to the minimum number of people who need it to do their work.
Sharing
We may share information where required by law, or where you ask us to. Support may sometimes be provided through a third-party supplier (for example a course provider or equipment supplier), in which case we share only the details needed to arrange what has been approved for you.
How long we keep it
We keep your information for as long as your Passport is active, and for a period afterwards that allows us to meet our obligations and understand our impact. Retention periods are maintained under our Record Retention governance setting and reviewed regularly.
Your rights
You can ask to see the information we hold about you, ask us to correct it, or ask us to delete it where we are not required to keep it. You can do this by contacting us. We will respond in line with our obligations under the Privacy Act 2020 (New Zealand).
Cookies
We use a small number of essential cookies to keep you signed in and remember your preferences. We only set non-essential cookies with your consent, which you can give or decline through the cookie banner. You can change your choice at any time.
Children and young people
Sector3 support is intended for people who can enter into an application in their own right. Where a young person is involved, we may require the involvement of a parent, guardian or support person, in line with our Safeguarding governance setting.
Complaints
If you have a concern about how we have handled your information, please contact us first. If we cannot resolve it, you can raise it with the Office of the Privacy Commissioner. Our internal complaints and review process is set out in our Complaints & Review governance setting.
Changes to this policy
We may update this policy as our practices develop or as Sector3 approves further governance decisions. We will indicate the date of the last review below.
